About the Person – Qualifications, Skills, and Experience
- Familiarity with phone systems.
- Previous experience with Microsoft Office software.
- Minimum of 1 years’ experience in a receptionist/administrative role.
- Previous customer service experience.
- Proficient in the use of computers.
Requirements for this Role
Reception
- Serves visitors by greeting, welcoming, and directing them appropriately.
- Notifies company personnel of visitor arrival.
- Maintains security and telecommunications system.
- Informs visitors by answering or referring inquiries.
- Directs visitors by maintaining employee and department directories.
- Operates telecommunication system by following manufacturer’s instructions for house phone and console operation.
- Keeps a safe and clean reception area by complying with procedures, rules, and regulations.
- Hire car management.
- Liaising with customer job updates.
- Assisting sales team with booking demonstrations.
Administration
- Systems and processes management.
- Assisting sales with quote preparation and order processing.
- Assisting with maintaining the office environment including maintaining stationery supplies and staff amenities.
Executive Assistant
- Support management team.
- Supports continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
- Contributes to team effort by accomplishing related results as needed.
- Supports the sales and marketing team, assisting with enquiries and calls.
