The role of the Receptionist is to serve visitors by greeting, welcoming, and directing them appropriately.

The role of the Receptionist is to serve visitors by greeting, welcoming, and directing them appropriately.

About the Person – Qualifications, Skills, and Experience          

  • Familiarity with phone systems.
  • Previous experience with Microsoft Office software.
  • Minimum of 1 years’ experience in a receptionist/administrative role.
  • Previous customer service experience.
  • Proficient in the use of computers.

Requirements for this Role

Reception

  • Serves visitors by greeting, welcoming, and directing them appropriately.
  • Notifies company personnel of visitor arrival.
  • Maintains security and telecommunications system.
  • Informs visitors by answering or referring inquiries.
  • Directs visitors by maintaining employee and department directories.
  • Operates telecommunication system by following manufacturer’s instructions for house phone and console operation.
  • Keeps a safe and clean reception area by complying with procedures, rules, and regulations.
  • Hire car management.
  • Liaising with customer job updates.
  • Assisting sales team with booking demonstrations.

Administration 

  • Systems and processes management.
  • Assisting sales with quote preparation and order processing.
  • Assisting with maintaining the office environment including maintaining stationery supplies and staff amenities.

Executive Assistant 

  • Support management team.
  • Supports continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
  • Contributes to team effort by accomplishing related results as needed.
  • Supports the sales and marketing team, assisting with enquiries and calls.
